Reporting to the Vice President of Facilities and EVS, the Executive Assistant provides high-level administrative support, in addition to enhancing the effectiveness of the VP by executing a variety of complex administrative duties. The Executive Assistant maintains a strict level of discretion and confidentiality and acts in a manner consistent with all legal and regulatory requirements and in compliance with relevant laws and regulations. The Executive Assistant is a seasoned professional who maintains poise in fast-paced situations and will be required to use independent judgment and initiative in the planning, organization, and performance of confidential and time sensitive administrative assignments. The Executive Assistant also collaborates, initiates, and supports opportunities with other functions by championing the goals and priorities of the Tribe in a manner that faithfully reflects and upholds the Tribe's vision, mission and values.

Essential Duties & Responsibilities

  1. Plans, schedules and organizes executive's Outlook calendar and related business activities; coordinates day-to-day activities, manages schedule conflicts and challenges; provides daily itineraries, while managing travel itinerary for VP, including all necessary arrangements and coordination of airfare, hotel accommodations and transportation.

  2. Works closely and effectively with Vice President, keeping them well informed of upcoming commitments and responsibilities, and following up appropriately.

  3. Serves as diplomatic gatekeeper that effectively filters both internal and external calls, visitors, and other inquiries, while managing flow of information and maintaining confidentiality at all times.

  4. Demonstrates ability to initiate and perform effective research and follow up on a wide variety of administrative and organizational tasks. Resolves obstacles to success through clear plans of action and uses innovative problem solving and critical thinking approaches to recommend solutions.

  5. Composes, prepares and proofreads highly accurate correspondence, presentations, and reports. Prepares information needed for business reports and presentations as directed, including all supporting documents, charts, spreadsheets, etc.

  6. Ensures project objectives are met by monitoring and measuring progress; coordinates team members and resources necessary to implement plans. Follows up with appropriate management on pending information and requests.

  7. Represents the Facilities Department and VP in internal and external meetings, as necessary.

  8. Acts as liaison for all visitors to VP, including contacting and escorting as needed, while also nurturing and supporting internal and external vendor relationships

  9. Tracks financial expenditures, including receipt collection, reimbursement follow-ups, charge contesting and credit card reconciliation.

  10. Performs other duties as assigned to support efficient operation of Department.


  • High School diploma (or equivalent) is required. Associates degree in Business Administration required. Bachelors' degree in Business Administration preferred.
  • Minimum of five (5) years of related administrative experience required; executive office experience is a plus.
  • Experience working in a fast paced environment, where attention to detail is critical.
  • Proficiency in Microsoft Suite of Products - specifically Word, Outlook, PowerPoint and Excel.
  • Experience with internet web navigation applications and acquaintance with other business software.
  • Ability to perform efficiently in a fast paced, high demand environment.


  • At the discretion of the San Manuel Tribal Gaming Commission you may be required to obtain and maintain a gaming license.
  • A qualified candidate/employee must have and maintain a valid driver's license with an acceptable driving record as determined by the enterprise's insurance carrier.
